Dentures Tauranga – No-Show and Cancellation Policy for
Free Consultation Appointments

Purpose:

This policy outlines the procedures and expectations for patients who fail to attend their scheduled free consultation appointments at Dentures Tauranga. We strive to maintain efficient scheduling and provide high-quality care to all patients. In order to continue offering free consultations, we ask for your cooperation in adhering to this policy. 

1. Appointment Confirmation:

  • Reminder: Patients will receive a text message reminder 24 hours prior to their free consultation appointment. 
  • Confirmation: When a free consultation appointment is booked online, in person or on the telephone, the Free Consultation appointment date and time is confirmed.

2. Definition of a No-Show

A no-show is defined as a patient who fails to attend their scheduled free consultation appointment without providing prior notice or cancellation. This includes:

  • Failing to arrive for the appointment at the scheduled time.
  • Not notifying the practice of a cancellation by calling on the Dentures Tauranga 0800 number, replying to the reminder text or emailing our office.

3. Policy for No-Shows and Late Cancellations

  • First Occurrence: A polite reminder will be sent to the patient about the importance of attending scheduled appointments or notifying us in case of cancellation. Patients will be given one opportunity to reschedule their free consultation.
  • Second Occurrence: After a second missed appointment without adequate notice, the patient may be removed from the list of individuals eligible for free consultations. Future consultations may require an upfront payment or the patient may be referred to another practice if appropriate.

4. Cancellations

  • Required Notice: Patients are required to provide at least 2 hours’ notice for any cancellation. Cancellations can be made via phone, email, or reply our text reminder.
  • Late Cancellations: Patients who cancel within 2 hours of their appointment will be considered a late cancellation and will be subject to the same penalties as no-shows.

5. Exceptions

We understand that emergencies or unforeseen circumstances may prevent patients from attending their scheduled appointments. In such cases, we ask that the patient contacts the practice as soon as possible to explain the situation. We will review each case on an individual basis and may offer a rescheduled appointment if deemed appropriate.

6. Communication of Policy

This No-Show and Cancellation Policy will be provided to all patients upon booking their free consultation appointment and will be available on our website and in the practice waiting area. We aim to ensure that all patients are fully aware of our expectations.
